Waikato Thoroughbred Racing based at Te Rapa is home to one of the best racetracks in the country and has built a strong reputation as a premier event venue in the region.  In recent years, we have focused on elevating our event centre, making it a go-to destination for corporate functions, parties and weddings, along with its core racing business. 

We are now looking for a Marketing, Events and Membership Coordinator to join our professional, hardworking and fun-loving team.

Reporting to the Chief Executive, this fulltime role offers an exciting opportunity to showcase your organisational and project management skills in a fast-paced, vibrant environment. If you thrive on variety, love bringing events to life, and have a sharp eye for marketing, this role is for you. 

Key Responsibilities:

  • Project management – Plan, coordinate and oversee events, functions and conferences (including large scale events) from start to finish. 
  • Race days – Provide support to 20 race days per season. There is a mix of weekend and public holiday dates in this schedule.
  • Marketing & Branding – Ensure all marketing materials (brochures, racebook covers, adverts, signage) align with the brand, while also supporting digital marketing efforts (social media and eDM’s). 
  • Website Management – Keep event pages updated with engaging and relevant content. 
  • Stakeholder Engagement – Be the key point of contact for caterers, labour hire and hire supplies ensuring seamless event execution.
  • Customer Service – Be the friendly face of our organisation, handling reception duties, inquiries, memberships, and quotes with professionalism and warmth. 
  • Membership Database – Maintain and update the WTR Membership database, including record keeping, invoicing, and distribution of membership cards.  
  • Financial Support – Assisting the finance team with invoicing and related tasks. 

What we are looking for:

We need a proactive and adaptable team player who can juggle multiple tasks and deliver high-quality results.  The ideal candidate will have:

  • Strong relationship-building skills and the ability to work under pressure while managing multiple priorities. 
  • Exceptional customer service skills with a drive to exceed expectations. 
  • Flexibility to work evenings, weekends and public holidays. 
  • A collaborative mindset, as successful events rely on teamwork and coordination. 
  • A solutions focused approach, always looking for ways to improve systems and processes. 
  • Experience in marketing and event management, ideally with a relevant qualification would be an advantage. 
  • Proficiency in Microsoft Suite, event management systems, managing social media, AV equipment and graphic design software. 
  • Excellent time management and the ability to think on your feet to solve problems quickly.
